Property Investor Media Ltd (“P I Media”) is committed to protecting and respecting your privacy.

This policy (together with our Exhibition Terms & Conditions) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

For the purposes of the Data Protection Act 1998, the PECR (E-Privacy Directives of 2002 & 2009) and the General Data Protection Regulation “GDPR” of 2018 - the Data Controller is:

1] About Property Investor Media Ltd

Property Investor Media is best known as the organiser of exhibitions for the property investment sector.

These exhibitions have been presented at Excel London and other leading venues around the UK since 2002. These events attract a large number of exhibiting companies - presenting property and related services plus a range of financial services, alternative investments and mentoring advice. They also attract a large number of visitors.

Property Investor Media also maintains and sends marketing messages, by email, to two databases:

A] A database of property investors. These records are predominantly UK based.  It would be accurate to describe this as a Business-to-Consumer database.

B] A database of UK and International global property companies (these companies include, but are not restricted to Property Agents, Developers and finance companies). It would be accurate to describe this as a Business-to-Business database.

 

2] Information we may collect from you

Personal data” means any information about an individual, held by a data controller, from which the controller can identify a specific, living person. It does not include data about a living person that the controller can’t identify.

Some elements of personal data are designated “Sensitive Personal Data” under the GDPR and are given greater protection. These include any personal data revealing race or ethnicity, religious or philosophical beliefs, sexual orientation, political opinions, trade union membership; and information about health, as well as genetic and biometric data. Information about criminal convictions and offences is also treated differently from ordinary personal data under the GDPR.

P I Media may collect, use, store and transfer different kinds of Personal Data about you.

P I Media DOES NOT collect, use or store any kind of data that falls into the “Sensitive Personal Data” category under the GDPR.

The personal data we collect will depend on the relationship you have with P I Media.

If you are:

2.1] An employee of P I Media, someone working with us under a contract for services, or someone who applies for employment or work with us, we will ask for your consent to use your personal data. We will also collect the following types of data relating to you:

Identity Data including first name, last name, title, job title, role or similar identifier, and gender, as well as proof of identity and your right to work in the UK.

Contact Data which may include your address, email address and telephone numbers.

Financial Data in order to provide salary / commission payments, benefits and conduct other financial transactions with you.

2.2] A business contact, including persons who supply us with goods (including hiring items to us) or services and any contacts at a company or other organisation which does so, and customers (including contacts at companies or other organisations) to whom we supply services, we may collect some/all of the following types of data relating to you:

Identity Data includes first name, last name, title, job title, role or similar identifier, and gender.

Contact Data includes your work address, email address and telephone numbers.

Financial Data if we supply or purchase goods and services to or from you as an individual (including some sole traders and partnerships), we may record and retain details of those transactions.

2.3] Someone who attends, or registers to attend, one of our exhibitions. We will collect some/all of the following information relating to you:

Identity Data includes first name, last name, title, job title, role or similar identifier.

Profile Data including your username and password

Contact Data email address, telephone number.

We will usually retain any data for 6 years after your last renewal or any other contact we have with you – unless you request earlier destruction (to our data privacy manager).

Unresponsive email records are removed from our records upon notification or at regular intervals.

 

3] How your personal data is collected

We use different methods to collect data from and about you. These include:

  • Direct interactions. You may give us your data by filling in forms or by corresponding with us using our website, by post, phone, email or otherwise. This includes personal data you provide when you:
  • Register to attend an exhibition (online via our website or in person)
  • Request marketing to be sent to you;
  • Enquire about a product or service offered by a partner
  •  
  • Automated technologies or interactions. As you interact with our website (and/or social media pages such as Facebook), we may automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data using industry-standard technologies.

  • Third parties or publicly available sources. We may receive personal data about you from various third parties and public sources as set out below:
  • Event management companies, payment service providers and any other third parties who assist us in organising and running exhibitions and events and obtaining payment.
  • Identity and Contact Data from publicly available sources e.g. Company Websites, Companies House Records.

 

4] How we use your personal data

Generally we do not rely on consent as a legal basis for processing your personal data.

However, we will only use your personal data when the law allows us to.

In the majority of instances personal (contact) data will be used to relay ‘Service’ or ‘Marketing’ messages by email.

Most commonly, we will use your personal data in the following circumstances:

  • Where we need to fully satisfy the contract we are about to enter into or have entered into with you.

  • Where it is necessary for our legitimate interests (or those of an appointed third party e.g. one of our official exhibition contractors) and your interests and fundamental rights do not override those interests.

  • Where we need to comply with a legal or regulatory obligation.

  • Where you have registered to receive services from us - including tickets to an exhibition or seminar - we consider that you have an interest in those products or services and similar products or services offered by or through us and we are permitted, under e-Privacy legislation, to send those communications to you by email.

With specific regard to email marketing we rely on the provisions of the PECR E-Privacy Directives of 2002 & 2009

For the avoidance of doubt, we will not disclose personal data collected by us (or supplied to us) to any 3rd party person or company for marketing purposes.

 

5] Opting Out

We comply with e-Privacy legislation in our electronic/email marketing messaging.

You have the right to withdraw consent to receive email marketing messages from us at any time.

There are 3 ways in which you can exercise your right to withdraw consent to receive email marketing messages from Property Investor Media

1] By selecting the ‘unsubscribe’ option which is displayed prominently at the base of every email broadcast we send.

6] Disclosures of your personal Data

We may need to share your personal data with third party consultants, contractors or other service providers. These will include but are not limited to:

Any law enforcement agency, court, regulator, government authority or other third party where we believe this is necessary to comply with a legal or regulatory obligation, or otherwise to protect our rights or the rights of a third party

Should such a sale or transfer occur, we will use reasonable efforts to try to ensure that the entity to which we transfer your information uses it in a manner that is consistent with this policy.

 

7] Where & how we store your personal data

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

We limit access to your personal data to a limited number of Data Processors. These are employees, agents, contractors and other third parties who have a business need to know.

All information you provide to us (or we collect from you) is stored on secure servers.

We use secure data networks protected by industry standard firewall and password protection systems. These servers can be accessed by a strictly limited number of appointed Data Processors.

They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA working for us or for one of our suppliers.

By submitting your personal data, you agree to this transfer, storing or processing.

All personal data is subject to restricted access and limited permissions. Access to all personal data sources is password protected.

Our website (www.propertyinvestor.co.uk ) is protected by Secure Socket Layer/Transport Layer Security. Secure server software is used to encrypt the information sent between your Internet browser and our website. This ensures the security of data provided by you when using this site.

Our website may, from time to time, contain links to and from the websites of our partners, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

 

8] Your rights

The GDPR gives you the right to access information held about you. You will not have to pay a fee to access your personal data, however we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively we may refuse to comply with your request in these circumstances.

Specifically you have the right to:

Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.

Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it.

Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms.

Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data's accuracy; (b) where you believe our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

Withdraw consent at any time to use your personal data. Please be aware that if you withdraw your consent, we may not be able to provide certain products or services to you.
